The best CRM for SaaS startups depends on how you sell. If your reps book demos by calling and emailing leads fast, Close is the strongest fit, with calling, SMS and multichannel Workflows in one tool. If you want a free start and native sync with every major cold email sender, pick HubSpot, and if product usage data needs to live on your account records, pick Attio.

Some tool links here are affiliate links (disclosure). Nerdy Joe is a Close affiliate partner, a certified Apollo.io Managed Services Partner and a PlusVibe Certified Silver Partner. We are not partners of Smartlead or Instantly, and we did not test these CRMs hands-on for this article.

Every price below comes from the vendor's own pricing page or help center and is listed as of October 2026, unless we say otherwise.

Who this guide is for

This guide is for B2B SaaS companies with roughly 2 to 100 employees, moving from founder-led sales to a first sales team that runs outbound and inbound demos.

That is also the buyer Close targets. Close's partner materials describe its typical buyer as businesses with 2 to 100 employees and "a human and communication first sales process," generally in B2B SaaS, personal coaching, digital marketing agencies and professional services. We treat that as Close's positioning, not proof of fit.

If you are still building the top of your funnel, our page on SaaS lead generation covers how cold email campaigns for SaaS are scoped and run.

How we judged these CRMs

We compared what you can verify on vendor sites: time to set up, price per seat, product usage data and data model flexibility, calling and dialers, sequences, integrations with Instantly, Smartlead, PlusVibe and Apollo, and how pricing scales from 2 to 20 seats. Setup effort is based on plan structure, onboarding fees and vendor claims, not our own timing.

How pricing scales from 2 to 20 seats

Seat count changes the ranking more than any feature does.

  • Free tiers end early. HubSpot's free CRM covers 2 users, Salesforce's Free Suite includes 2 user licenses, Capsule's Free plan covers 2 users and 250 contacts, and Attio's Free plan covers 3 seats.
  • Some plans cap seats. Close Solo is 1 user, and Attio Plus stops at 10 seats, so a growing Attio team moves to Pro at $79 annual. Close's included AI credits are capped at 10 users per account.
  • Onboarding fees hit once. HubSpot charges a one-time $1,500 onboarding fee on Professional and $3,500 on Enterprise, according to its pricing page.
  • Startup programs cut year one. HubSpot for Startups lists up to 90% off year one for eligible startups (pre-seed to Series A tied to an approved partner or verified venture funding), then 50% off year two and 25% off year three, on net-new Professional or Enterprise products only. Attio lists 80% off annual Pro and credits in year one and 30% off in year two, for venture-backed startups with up to 10 seats that apply within 90 days.
  • Usage adds up on Close. Close bills calls and SMS at cost on top of seats, with most outbound calls at about $0.02 per minute and numbers from about $1 per month.

At 20 seats on annual list prices, the gap is wide: Pipedrive Growth is $780 a month, Attio Pro $1,580, HubSpot Professional $1,800 plus onboarding and Close Growth $1,980 before usage. Close's price includes the dialer and SMS steps, so compare it against your full stack, not the CRM line alone.

The current Close offer

Close's partner landing page lists code STACK20 for an extra 20% off the first year on annual billing, redeemable by December 31, 2026, and shows Growth at $79 per user per month with the code. Assuming it applies to your plan, that puts 3 Growth seats at about $237 a month and 10 seats at about $790 a month in year one. The plan renews at the standard annual rate after 12 months, so confirm the terms at checkout. See the Close offer.

1. Close: best for call and email heavy SaaS sales

Close is a sales CRM built around the phone and the inbox. Every plan includes calling, SMS, two-way email sync, native forms and API access, which suits a SaaS team whose job after a demo request or a positive reply is to call fast and follow up across channels.

Time to set up. Close's partner materials claim under an hour from signup to first deal, and Close says it migrates new customer data for free and offers a no-cost onboarding call. The structure (leads, contacts, opportunities and Smart Views) is simpler than HubSpot or Salesforce.

Pricing as of October 2026. Solo is $19 monthly or $9 annual for 1 user, Essentials $49 ($35), Growth $109 ($99) and Scale $149 ($139). The 14-day trial needs no card and includes $5 of calling and enrichment credits.

Calling and sequences. The Power Dialer on Growth calls through a saved Smart View in order, and the Predictive Dialer on Scale dials several numbers at once, according to Close's help center. Workflows, Close's sequences, sit on Growth and Scale and can send email, send SMS and create call tasks, pausing when the lead replies or books a meeting.

Data model and integrations. Custom objects are a Scale feature, and Close lists a Segment integration that syncs leads and contacts using Segment events. Close's integrations page lists Zapier, Make and HubSpot but not Instantly, Smartlead, PlusVibe or Apollo, so replies arrive through Zapier, webhooks or OutboundSync's Smartlead to Close sync.

Weaknesses. No free plan, Workflows and the Power Dialer start on Growth, and custom objects and permissions need Scale. Our Close CRM review covers plan gates, AI credits and usage costs.

Best for: SaaS teams whose reps call every day, from a founder doing demos to a first group of SDRs.

2. HubSpot: best free start and native sender sync

HubSpot is a broad platform with marketing, sales and service hubs on one contact database. For a SaaS startup that also runs content, paid and inbound, that shared database is the main reason to choose it.

Time to set up. The free CRM and Starter are quick to start. Professional adds a one-time $1,500 onboarding fee.

Pricing as of October 2026. Free covers up to 2 users. HubSpot's pricing guide lists Starter at $15 monthly or $9 annual and Professional at $100 monthly or $90 annual per seat, and Enterprise is $150 per seat with a $3,500 onboarding fee.

Startup program. HubSpot for Startups offers up to 90% off year one, 50% off year two and 25% off year three for eligible startups, or 30% off year one on its other tier. It applies to net-new Professional or Enterprise products only.

Calling and sequences. Starter includes 500 calling minutes per account and Professional 3,000. Sequences start on Professional, with up to 500 email sends per user per day.

Data model and integrations. Custom objects are an Enterprise feature, according to HubSpot's pricing guide. HubSpot is the one CRM with a native integration documented by Instantly, Smartlead and PlusVibe, and Apollo supports two-way sync with it, a real advantage if you want replies on records with no Zapier step.

Weaknesses. The free CRM has one deal pipeline, sequences need Professional, and costs rise quickly with seats and onboarding fees.

Best for: SaaS startups that want marketing and sales on one database, and teams that want native cold email reply sync.

3. Attio: best for product usage data and a flexible data model

Attio lets you shape objects, attributes and lists around how your product and sales process work. For product-led SaaS, that is its main strength.

Time to set up. The flexibility cuts both ways. You decide which objects to enable and how they relate, which takes more thought up front than Close or Pipedrive.

Pricing as of October 2026. Free covers up to 3 seats and 50,000 records. Plus is $44 monthly or $35 annual per seat for up to 10 seats, Pro is $99 ($79) with unlimited seats, and Enterprise is custom, with a 14-day trial of Pro.

Data model and usage data. Attio's pricing page caps objects at 3 on Free, 5 on Plus and 12 on Pro, and its plans guide lists custom objects on Pro. Its product-led growth guide recommends enabling the Workspace and User objects from day one and sending signup, usage and subscription data in through the API, a reverse-ETL tool, Segment or PostHog.

Sequences and calling. Email sequences and call intelligence (recording, transcripts and insights) are on Pro. Attio does not list a dialer, and email sending is capped at 200 per month on Free and 1,000 on Plus.

Integrations. Attio's marketplace lists an Instantly app built by Instantly that syncs people into Instantly lists and writes people, companies, deals, notes and tasks back. Smartlead and PlusVibe connect through Zapier, Make or OutboundSync, and Apollo's two-way sync article does not list Attio.

Weaknesses. No dialer, sequences only on Pro and more setup than simpler CRMs.

Best for: Product-led or hybrid SaaS teams that want usage signals and sales activity on the same account record.

4. Pipedrive: best visual pipeline on a budget

Pipedrive is built around a drag-and-drop deal pipeline, a practical fit for a SaaS team that sells in clear stages.

Pricing as of October 2026 (annual, per seat). Lite $14, Growth $39, Premium $59 and Ultimate $79, with a 14-day trial and no card. Growth adds automations, sequences and full email sync with tracking.

Calling and integrations. The pricing page does not describe built-in calling, though Ultimate includes a 20% discount on CloudTalk, a third-party phone tool. Smartlead lists Pipedrive as native, Instantly supports it in Automations, PlusVibe lists it as planned, and Apollo supports two-way sync.

Weaknesses. No free plan, Lite has no automations, and the data model is less flexible for product usage data than Attio.

Best for: Early sales teams that want a clear pipeline and native sync with Smartlead, Instantly or Apollo.

5. Salesforce Starter: best path into the Salesforce ecosystem

Salesforce Starter Suite is the small-business entry point to Salesforce. It makes sense if you expect to sell to enterprises that ask about your stack, or if you plan to grow into Salesforce's larger editions.

Pricing as of October 2026. Starter Suite is $25 per user per month, billed monthly or annually, and Pro Suite is $100 per user per month on an annual contract. Salesforce says Starter has no user maximum and offers a free trial of Starter for up to 10 users, and its Free Suite includes 2 user licenses.

Features and integrations. Starter includes lead, account, contact and opportunity management, sales flows, lead routing, email and event sync and email marketing, but the pricing page does not name sequences or calling. Smartlead lists Salesforce as native, Instantly documents it through OutboundSync, PlusVibe lists it as planned, and Apollo supports two-way sync.

Weaknesses. More configuration than Close or Pipedrive, and Pro Suite is four times the price of Starter on an annual contract.

Best for: SaaS startups that know they will end up on Salesforce and want to start there.

6. folk: best lightweight CRM for a very small team

folk is a simple, relationship-focused CRM with unlimited members on every plan. It suits a founder team tracking investors, design partners and early customers alongside a sales pipeline.

Pricing as of October 2026. Standard is $30 monthly or $24 annual per user, Premium $60 ($48) and Enterprise from $100 ($80). The trial lasts 2 weeks with no card.

Features and integrations. Standard includes pipelines, email campaigns, enrichment and email, calendar and WhatsApp sync. Premium adds email sequences, custom objects and deals, dashboards, API access and Zapier and Make, which is how a cold email sender connects. folk does not list a dialer.

Best for: Founders and two to five person teams who want simple tracking more than sales automation.

7. Capsule CRM: best low-cost simple pipeline

Capsule CRM is a plain, contact-centered CRM, a fair pick for a bootstrapped SaaS team that needs a low-cost pipeline but no dialer or product data.

Pricing as of October 2026. Capsule's pricing page lists Free (2 users, 250 contacts, 1 pipeline), Starter (30,000 contacts), Growth (60,000 contacts and workflow automation), Advanced (120,000 contacts, 50 pipelines) and Ultimate (5 or more users), but shows no dollar figures for paid plans. Capsule's own blog (November 2025) lists Starter at about $18 and Growth at about $36 per user per month.

Integrations. Capsule's Zapier integration is available on every plan, including Free, so replies from any sender can create contacts and opportunities through Zapier or Make.

Best for: Small, price-sensitive teams with a simple sales process. Our best CRM for cold email roundup covers Capsule's plans and automation in more depth.

Best for by stage

Founder-led sales (1 to 3 people selling)

Keep cost low and avoid tools that need an admin.

  • Founder who calls: Close Solo ($9 annual), or Growth if you want Workflows and the Power Dialer from day one.
  • Founder on a budget: HubSpot Free (2 users) or Attio Free (3 seats).
  • Product-led founder: Attio Free, with Workspace and User objects enabled early.

First SDRs and AEs (3 to 10 sellers)

Reps need a list to work, a fast way to call and follow-up that runs on its own.

  • Outbound with calls: Close Growth, for the Power Dialer and Workflows that mix email, SMS and call tasks.
  • Outbound with native reply sync: HubSpot Professional, especially if the startup discount applies.
  • Pipeline and budget first: Pipedrive Growth at $39 per seat on annual billing.

Scaling sales team (10 to 20 or more sellers)

Now you need permissions, reporting and a data model you will not rebuild.

  • High-velocity calling team: Close Scale, for the Predictive Dialer, live call coaching, custom roles and custom objects.
  • Marketing and sales on one database: HubSpot Professional or Enterprise.
  • Usage-driven expansion sales: Attio Pro, with product data on Workspace records.
  • Enterprise-bound: Salesforce Pro Suite.

Where your cold email tool and Apollo fit

Your CRM should not send cold volume. Keep cold campaigns on secondary domains and warmed mailboxes in a dedicated sender, as our guide to cold email infrastructure explains, and sync only interested replies into the CRM.

For sending, Instantly, Smartlead and PlusVibe all document a native HubSpot integration. For Close, Attio, folk and Capsule you use Zapier, Make, webhooks or a third-party sync. Our Instantly vs Smartlead vs PlusVibe comparison covers which plans include webhooks.

For data, Apollo supports two-way sync with HubSpot, Salesforce and Pipedrive on certain plans. If you run Close or Attio, move Apollo contacts by CSV, Zapier or API, and see our Apollo review for its prospecting and sequencing features.

Rather not run it yourself?

A CRM only helps once demos are flowing into it. Domains, mailboxes, list building, copy and reply handling take real time every week, often before a SaaS startup has hired its first SDR.

If you would rather hand off the outbound side, book a 30-minute call with David at Koldify. Koldify is a done-for-you cold email agency where David Tile is a partner, and it sends client campaigns on PlusVibe, Smartlead and Email Bison.

Verdict

For a B2B SaaS startup whose sales motion runs on calls and email, Close is the best CRM for SaaS startups on this list. Calling, SMS and a pipeline come on every plan, and Growth adds the Power Dialer and multichannel Workflows that a first SDR team uses daily.

Pick HubSpot if you want a free start, native reply sync with your sender or marketing on the same database, and check the startup discount before you buy Professional. Pick Attio if product usage data should drive your pipeline, Pipedrive for a low-cost visual pipeline, and Salesforce Starter if you are headed for Salesforce anyway.

If Close fits, start the 14-day trial and run the dialer on your own lead list before you commit. STACK20 takes an extra 20% off the first year on annual billing if redeemed by December 31, 2026 (confirm the terms at checkout). Start a Close trial.

Frequently asked questions

What CRM do most early-stage SaaS startups use?

There is no single answer, and we do not have reliable usage numbers to share. HubSpot, Attio, Close, Pipedrive and Salesforce all court startups directly, so the better question is which one fits your sales motion: calls and email, product-led signups, or a visual deal pipeline.

Is HubSpot free for startups?

HubSpot's free CRM covers up to 2 users. The HubSpot for Startups program offers up to 90% off year one for eligible startups, but HubSpot says the discount applies to net-new Professional or Enterprise products only, not the free CRM or Starter.

Does Attio have a startup discount?

Yes. Attio's startup page lists 80% off the annual Pro plan and credits for the first year and 30% off the second year, for workspaces of up to 10 seats. Attio says you must apply within 90 days of creating your workspace.

Which CRM for SaaS has a built-in power dialer?

Close includes calling on every plan and adds the Power Dialer on Growth and the Predictive Dialer on Scale. HubSpot includes calling minutes on paid plans, while Attio, Pipedrive, folk and Capsule do not list a built-in power dialer on their pricing pages.

Should a SaaS startup send cold email from its CRM?

Usually not. Send cold volume from a dedicated tool on secondary domains, then push interested replies into the CRM, and use the CRM for one-to-one follow-up from your main inbox.

When should a SaaS startup switch CRMs?

Common triggers are hiring your first SDRs, needing product usage data on account records, or hitting a plan cap such as a seat limit. Switching is easier before you have years of custom fields and automations, so pick for the team you expect in 12 to 18 months.
