The short answer: pick PlusVibe if you bring your own lists and send up to about 150,000 emails a month on a budget. Pick Instantly if you want lead data, sending, CRM and AI agents from one vendor, or the lowest list price at 500,000 emails a month. Pick Smartlead if you run an agency with many clients and want unlimited contacts, fixed per-client pricing and native Salesforce sync.

The short verdict
All three are capable cold email sequencers with warmup, inbox rotation, a unified inbox, A/B testing and an API. None of them wins on every axis, and the right one depends on your volume, your data source and how many clients you serve.
| If you are... | Best fit | Why |
|---|---|---|
| A solo founder with your own list | PlusVibe Personal ($37) | 25,000 emails and 30,000 active leads at the lowest entry price |
| A small sales team that needs data too | Instantly Hypergrowth ($97) plus Credits | Data, sending, team invites and replies in one login |
| An agency with many clients | Smartlead Unlimited Smart ($174) plus $29 per client | Unlimited contacts and published per-client pricing |
| A high-volume sender (500,000 a month) | Instantly Light Speed ($358) | Lowest list price at that volume |
| On a tight budget | PlusVibe Personal or Business | Lowest list price from 6,000 to 150,000 emails |
Prices are monthly billing, as of October 2026. Further down, each pair gets its own head-to-head section with a link to our full 1:1 comparison.
Quick picks by use case
Solo founder: PlusVibe. If you send to one market from a handful of inboxes and already have a list, PlusVibe Personal costs $37 a month for 25,000 emails and 30,000 active leads. Instantly Growth ($47) caps you at 1,000 uploaded contacts and does not let you reply from Unibox, and Smartlead Base ($39) caps contact storage at 2,000.
Small sales team: Instantly. A five-person team that also needs prospect data gets the most from one vendor. Instantly Hypergrowth ($97) adds team invites, Unibox replies, webhooks and subsequences, and the SuperSearch lead database runs on Credits in the same account. If your team already buys data elsewhere, PlusVibe Business ($77) is the lower-cost alternative.
Agency with many clients: Smartlead. Smartlead sells client workspaces with white label at $29 per client per month from Pro, and Unlimited Smart ($174) removes the contact cap. It also lists native HubSpot, Salesforce, Pipedrive and Zoho integrations, which matters when each client runs a different CRM.
High-volume sender: Instantly, with Smartlead close behind. At 500,000 emails a month, Instantly Light Speed lists at $358, Smartlead Unlimited Prime at $379 and PlusVibe Agency from $497. Smartlead Prime stores unlimited contacts, while Light Speed caps uploaded contacts at 100,000, so a $21 difference can flip depending on list size.
Budget: PlusVibe. Between about 6,000 and 150,000 emails a month, PlusVibe has the lowest list price of the three. It also includes 1,000 to 3,000 enrichment credits a month on its self-serve plans.

What a cold email sequencer does (and what it does not)
A cold email sequencer is the software that sends your outreach. You connect your mailboxes, upload a list, write a multi-step sequence, and the tool sends each step on a schedule, stops when someone replies, and collects the replies in one inbox.
The core jobs are the same in all three tools:
- Sending and scheduling: multi-step sequences with delays, sending windows and daily caps per mailbox.
- Inbox rotation: spreading sends across many connected mailboxes so no single inbox carries the load.
- Warmup: a network of real accounts that exchange emails with your new mailboxes to build sending reputation.
- Reply handling: a unified inbox that pulls replies from every mailbox, with tagging and assignment.
- Testing and reporting: A/B variants per step, open, click and reply tracking, bounce protection.
- Integrations: an API, webhooks and CRM sync so replies and meetings land where your sales team works.

What a sequencer is not matters just as much. It is not your data source. Instantly and Smartlead have added lead databases, but the sequencer's job is sending; list quality still decides most of your results. Many teams buy data from a dedicated provider such as Apollo and import it.
It is not your domains or mailboxes either. You buy secondary domains and Google, Microsoft or SMTP inboxes, set up SPF, DKIM and DMARC, and then connect them. All three vendors resell done-for-you inboxes, but the domains and mailboxes are a separate layer with their own monthly cost. Our guide to cold email infrastructure covers that layer in full.
Finally, a sequencer does not guarantee deliverability. Warmup and rotation help, but copy, list hygiene, volume per inbox and domain setup still decide where your email lands.

Two caveats on the table. Smartlead's Fair Use Policy, effective February 1, 2026, still lists mailbox caps of 100, 300 and 800 under older plan names (Basic, Popular, Pro), while its pricing page says every plan includes unlimited email accounts. Smartlead's AI categorization help article also still uses the older plan names, so how it maps to Unlimited Smart and Prime is not stated.
Plan limits: emails, contacts and mailboxes
The three vendors meter usage differently, and the meter you hit first decides your real price. Instantly and Smartlead meter both emails sent and contacts stored. PlusVibe meters emails and active leads, with far higher lead caps per dollar.

Instantly counts uploaded contacts as a fixed total that "does not reset or refresh each month," per its help center. Deleting leads from campaigns frees capacity, but deleting them from lists does not. Growth allows 1,000 contacts and 5,000 emails, Hypergrowth 25,000 and 125,000, and Light Speed 100,000 and 500,000.
Smartlead separates contact credits (unique prospects stored) from email credits (each email sent). Base stores 2,000 contacts and sends 6,000 emails; Pro stores 30,000 and sends 90,000. Both Unlimited plans remove the contact cap, with 150,000 sends on Smart and 500,000 on Prime.
PlusVibe counts "any lead connected to your campaigns," including leads in paused and completed campaigns. Personal allows 30,000 campaign leads and 300,000 list leads; Business allows 100,000 and 1,000,000. PlusVibe says it plans to remove the list caps eventually.
Sending limits and inbox rotation
Monthly email allowances are only half of sending capacity. The other half is how many emails each mailbox can send per day without hurting its reputation, which is why all three tools rotate sends across many connected inboxes.
None of the three publishes a single safe daily number for cold sends, and we will not invent one. Smartlead's API warmup guide suggests 20 to 40 warmup emails per day per account and starting new campaigns at 10 to 15 new leads per day. PlusVibe's default warmup ramp starts at 5 per day and climbs by 5 per day to a maximum of 50.
Rotation features differ in the details.
Smartlead automatically matches the sending mailbox to the lead's provider (Gmail to Gmail, Outlook to Outlook). PlusVibe offers basic ESP matching on Personal and advanced matching from Business, and adds dedicated connector IPs with rotation on Agency. Instantly rotates across all connected accounts and adds its SISR system of dedicated servers and IP blocks on Light Speed.
Pricing at three scales
List prices only tell you so much, because each tool bundles different things. Below we price the same three workloads on all three platforms, with every assumption stated.

Assumptions for all three scenarios:
- Monthly billing, list prices as of October 2026, before tax.
- Platform cost only. Domains, mailboxes, lead data and placement testing are extra on all three, and we show mailbox costs separately where it helps.
- About 30 cold emails per inbox per sending day and about 22 sending days a month. This is our planning assumption, not a vendor recommendation.
- No promotions or discounts.
You can plug your own numbers into our cold email cost calculator.
Scale 1: solo founder (1 to 3 inboxes, about 3,000 contacts)
Three inboxes at 30 a day for 22 days is about 2,000 emails a month. The binding limit is contacts, not emails: about 3,000 stored contacts.
| Plan that fits | Monthly | Math | |
|---|---|---|---|
| Instantly | Hypergrowth | $97 | Growth caps uploaded contacts at 1,000, so 3,000 needs Hypergrowth |
| Smartlead | Pro | $94 | Base stores 2,000 contacts, so 3,000 needs Pro |
| PlusVibe | Personal | $37 | 30,000 active leads and 25,000 emails cover it |
If you keep fewer than 1,000 contacts in Instantly campaigns at a time (by deleting finished leads from campaigns), Growth at $47 works, though Growth cannot reply from Unibox. If you stay under 2,000 stored contacts, Smartlead Base at $39 works. PlusVibe is the cheapest option at this size either way.
Scale 2: a five-person sales team (about 25 inboxes, 15,000 contacts)
Twenty-five inboxes at 30 a day for 22 days is about 16,500 emails a month, with about 15,000 contacts stored. We assume the team needs teammates in the tool, replies from the unified inbox, and webhooks or an API to push replies into a CRM.
| Plan that fits | Monthly | Math | |
|---|---|---|---|
| Instantly | Hypergrowth | $97 | Team invites, Unibox replies and webhooks start here; 25,000 contacts covers 15,000 |
| Smartlead | Pro | $94 | 30,000 contacts, 90,000 sends, CRM, API and webhooks |
| PlusVibe | Business | $77 | API and webhooks start on Business; 100,000 active leads |
If you buy the 25 Google inboxes through each vendor, add $125 a month on Instantly (25 x $5), $112.50 on Smartlead (25 x $4.50) or $100 on PlusVibe (25 x $4), plus domains. Without the API requirement, PlusVibe Personal at $37 also covers this volume.
Scale 3: an agency with about 20 clients (about 100 inboxes, 50,000 contacts)
One hundred inboxes at 30 a day for 22 days is about 66,000 emails a month. We assume about 50,000 contacts stored across 20 clients, and that each client should see only its own campaigns.
| Plan that fits | Monthly | Math | |
|---|---|---|---|
| Instantly (shared workspace) | Hypergrowth + Outreach add-on | $184 | $97 + $87 = 50,000 contacts and 250,000 emails, but one portal per workspace |
| Instantly (one workspace per client) | 20 x Hypergrowth | $1,940 | Each workspace needs its own subscription; white label needs Hypergrowth+ |
| Smartlead | Unlimited Smart + 20 client workspaces | $754 | $174 + (20 x $29) = $754 |
| PlusVibe | Business + 19 extra workspaces | $628 (from) | $77 + (19 x $29) = $628; extra workspaces are priced "from $29" |
The Instantly split matters. Its help center says clients with Campaigns access see all campaigns in a workspace, so isolating 20 clients means 20 workspaces. If your clients can share one view, Instantly is the cheapest of the three at this scale.
Smartlead Unlimited Prime is the other route: $379 includes 3 client workspaces, so 17 more at $29 brings it to $872, with 3 SmartServers included. PlusVibe Agency starts at $497 and includes dedicated client workspaces and white label, but the total for 20 clients is quote-based, so treat $497 as a floor.
Instantly: deep dive
Instantly is the broadest suite of the three. Beyond sending, it sells a lead database (SuperSearch), a CRM, inbox placement testing, website visitor identification, done-for-you inboxes (including its own AirMail SMTP accounts at $4 a month) and a growing set of AI agents. You can see current plans on the Instantly pricing page.
Strengths
- One vendor for data and sending. SuperSearch claims 450M+ verified records and runs on Instantly Credits, so a team can find, verify and email leads in one account.
- Flat, per-workspace pricing. Every Outreach plan includes unlimited email accounts and unlimited warmup, with no per-seat fees.
- Lowest list price at high volume. Light Speed covers 500,000 emails for $358, and the $87 Outreach add-on adds 125,000 emails and 25,000 contacts on Hypergrowth and above.
- Wide AI agent lineup. The AI Reply Agent costs 5 credits per reply and the AI Sales Agent 5 credits per lead, per Instantly's pricing notes.
- A/Z testing on every plan, with up to 26 variants per step and auto-optimize.
Weaknesses (as documented by Instantly)
- Key team features start at Hypergrowth. Per the help center's plan comparison, Growth cannot reply from Unibox, use webhooks, invite teammates, add workspaces or use subsequences.
- Contact caps are tight at the entry level. Growth allows 1,000 uploaded contacts and the cap does not reset monthly.
- Costs stack as separate subscriptions. Outreach, Credits, CRM ($47 or $97), Inbox Placement ($47 or $97) and inboxes are billed separately, so a full stack costs more than the headline plan.
- Client isolation means more workspaces. One white-label portal per workspace, and each workspace needs its own subscription.
- Done-for-you inboxes depend on the plan. Instantly says DFY, AirMail and pre-warmed accounts are paused automatically without an active Outbound plan after the trial.
Best for
Teams that want lead data, sending, CRM and AI under one login, and high-volume senders whose list fits within 100,000 uploaded contacts. Our full Instantly review covers setup and every add-on in detail.
Smartlead: deep dive
Smartlead is built around high-volume sending across many mailboxes, with agencies as a core audience. It has added a lead finder (SmartProspect), calling (SmartDialer), AI agents (SmartAgents) and its own infrastructure (SmartServers and SmartSenders). See current plans on the Smartlead pricing page.
Strengths
- Unlimited contacts from $174. Unlimited Smart and Unlimited Prime remove the contact storage cap, which matters for agencies with large client lists.
- Published per-client agency pricing. Client workspaces with white label cost $29 each per month from Pro, run on your own domain, and Prime includes 3.
- The widest native CRM list of the three. Smartlead names HubSpot, Salesforce, Pipedrive and Zoho, plus Zapier, Make and n8n.
- Infrastructure options. SmartServers add dedicated servers with dedicated IPs at $39 per server per month, and Prime includes 3.
- Deliverability controls. Automatic ESP matching, High Bounce Rate Auto Protection, Community Bounce filtering and a master inbox with assignment and internal comments.
Weaknesses (as documented by Smartlead)
- Base is limited. Base has no CRM, no API or webhooks and no client workspaces, per Smartlead's pricing notes.
- Pro's sending cap is lower than its price peers. Pro sends 90,000 emails a month; 150,000 requires Unlimited Smart at $174.
- Some documentation lags the 2026 lineup. The Fair Use Policy and the AI categorization article still use the older plan names, so a few limits are unclear on the current plans.
- Add-ons add up. SmartDelivery ($49 to $599), SmartServers, SmartSenders mailboxes, verification credits and the $59 SmartProspect fee on Base and Pro are all separate charges.
- Lead finder costs extra on lower tiers. SmartProspect is included on Unlimited Smart and Prime but costs $59 a month on Base and Pro.
Best for
Agencies managing many clients, teams that need unlimited contact storage, and anyone who needs native Salesforce sync. Read our complete Smartlead review for the full feature set.
PlusVibe: deep dive
PlusVibe (formerly pipl.ai) describes itself as "inbox-first cold email outreach at scale." It focuses on sending, warmup, deliverability and reply handling, and leaves lead databases and multichannel steps to other tools. Current plans are on the PlusVibe pricing page.
Strengths
- Lowest list price from about 6,000 to 150,000 emails. Personal is $37 for 25,000 emails; Business is $77 for 150,000.
- High lead limits per dollar. 30,000 active leads on Personal and 100,000 on Business, against 1,000 and 25,000 on Instantly's first two tiers.
- Enrichment credits included. 1,000 a month on Personal and 3,000 on Business, usable for verification, website scraping, AI personalization and email finding.
- API and webhooks from $77. Business includes API access, webhooks and Zapier or Make trigger-based campaigns.
- Deliverability controls on self-serve plans. Unibox with AI sentiment detection on all plans, SEG detection, a daily cap per recipient domain and auto-pause on high bounce rates.
Weaknesses (as documented by PlusVibe)
- No lead database. PlusVibe offers enrichment and an email finder, not a searchable contact database, so you bring your own lists.
- Email only. There are no LinkedIn, call or SMS steps in sequences on the self-serve plans.
- Fewer native CRM integrations. HubSpot is native per the help center; Salesforce and Pipedrive are listed as "Planned" on the product roadmap.
- Mailbox policy is not stated. The pricing page gives no mailbox cap and no "unlimited" statement for paid plans.
- Agency pricing is a floor, not a total. Agency starts at $497 with custom workspaces, and white label gating differs between the pricing page (Agency) and the help center (client app on Business and Agency).
Best for
Founders, small teams and agencies that bring their own data and send up to about 150,000 emails a month. Our full PlusVibe review walks through every plan.

Unified inbox and reply handling
Once campaigns run, most daily work happens in the unified inbox. This is where the three tools differ more than their feature lists suggest.
Instantly's Unibox pulls replies from every connected account. Growth gets preview only; replying from Unibox needs Hypergrowth or higher. Its AI labeling, which Instantly calls Unibox NLP, can automatically tag Interested, Not interested and Out of office replies at no extra charge, and custom labels need Hypergrowth or Light Speed.
Smartlead's master inbox filters by sender, tag, reply type, campaign or time, and supports bulk actions. Replies can be assigned to a teammate who keeps ownership until resolved, with internal comments for handoffs, CRM push of the full thread and Slack alerts. AI categorization is not on Base.
PlusVibe's Unibox is on every plan, with AI reply sentiment detection included. Its March 2026 update added scheduled replies, push notifications, AI round-robin thread assignment and auto follow-up. Emails in connected inboxes are kept for 9 months, and replies the system cannot match to a lead are kept for 7 days.
Head to head: the three pairs
Instantly vs Smartlead
These two are the closest like-for-like pair. Both state unlimited email accounts on every plan, both have a lead database, both sell placement testing and both offer white label.
Instantly is cheaper for base sending at 125,000 emails ($97 vs $174 on Unlimited Smart) and at 500,000 ($358 vs $379), and it bundles a wider AI agent suite. Smartlead stores unlimited contacts from $174, prices client workspaces at a flat $29 each, includes its CRM from Pro and lists native Salesforce. Read the full Smartlead vs Instantly comparison.
Instantly vs PlusVibe
The split here is data and volume. Instantly gives you a lead database, CRM and AI agents in one place, and wins at 500,000 emails a month ($358 vs from $497).
PlusVibe wins on price from about 6,000 to 150,000 emails, with far higher lead caps per dollar and API access at $77. You give up a built-in database and Instantly's larger agent lineup. Our full PlusVibe vs Instantly breakdown has the details.
Smartlead vs PlusVibe
Both charge $29 a month per extra client workspace, so agency pricing is closer than it looks. PlusVibe is cheaper up to about 150,000 emails ($37 or $77 against $94 or $174).
Smartlead offers unlimited contacts, a lead finder, calling and native Salesforce, Pipedrive and Zoho, and is cheaper at 500,000 emails ($379 vs from $497). See our detailed PlusVibe vs Smartlead comparison.
Migrating or switching between tools
Switching sequencers is mostly a mailbox and data exercise. Plan it so you do not lose replies, warmup history or suppression lists.
- Export everything first. Pull leads, lead statuses, block lists and reply history from the old tool before you cancel.
- Check what you own. Mailboxes you bought yourself can be reconnected through Google OAuth, Microsoft 365 or SMTP in any of the three. Mailboxes bought inside a vendor need care.
- Clean up vendor inboxes. Instantly says its DFY, AirMail and pre-warmed accounts pause without an active Outbound plan. Smartlead's own pricing notes treat SmartSenders domains and mailboxes as separate add-on charges, so delete what you no longer need.
- Never run one mailbox in two tools. Disconnect from the old sequencer before connecting to the new one, or both will send and warm from it.
- Restart warmup gently. Warmup settings and pool membership do not transfer, so let reconnected mailboxes warm in the new tool before full campaign volume.
- Rebuild sequences and integrations. Spintax, variables, subsequence triggers and webhooks differ between tools, so test each sequence with a seed list before launch.
- Overlap billing for a short window. Keep the old plan through the last follow-up step of live campaigns, then cancel each subscription separately.
How we compiled this
This comparison is built from public sources only. We did not run controlled tests or placement experiments for this article, and we do not present any numbers of our own as performance data.
- Prices and limits come from each vendor's pricing page and pricing notes: instantly.ai/pricing and its pricing.md file, smartlead.ai/pricing and its pricing.md file (stamped July 28, 2026), and plusvibe.ai/pricing and plusvibe.ai/plans, all checked in October 2026.
- Feature gating comes from each vendor's help center and docs, linked in Sources.
- Vendor claims such as database size, warmup pool size and accuracy rates are labeled as claims.
- Conflicts between a vendor's own pages are flagged where they appear.
On our relationships: Nerdy Joe is a PlusVibe Certified Silver Partner and a certified Apollo.io Managed Services Partner. Koldify, the cold email agency where David Tile is a partner, sends client campaigns on PlusVibe, Smartlead and Email Bison. Rather not run it yourself?
Choosing a sequencer is one decision out of many. Domains, mailboxes, warmup, list building, copy and daily reply handling take real time every week.
If you would rather hand that off, book a 30-minute call with David at Koldify to see whether a done-for-you cold email program fits. Koldify is a cold email agency where David Tile is a partner, and it sends client campaigns on PlusVibe, Smartlead and Email Bison.
The verdict
There is no single best cold email sequencer among these three. Each one leads in a different situation, and the list prices flip as volume grows.
- Choose PlusVibe if you bring your own data and send up to about 150,000 emails a month. It has the lowest list price in that range and the highest lead caps per dollar.
- Choose Instantly if you want lead data, sending, CRM and AI agents from one vendor, or you send around 500,000 emails a month with a list under 100,000 contacts.
- Choose Smartlead if you run an agency with many clients, need unlimited contact storage, or need native Salesforce, Pipedrive or Zoho sync.
Whichever you pick, start with the 14-day trial on your own mailboxes and a small list. For the wider market beyond these three, see our roundup of the best cold email software.

Frequently asked questions
Which is cheapest: Instantly, Smartlead or PlusVibe?
It depends on volume. As of October 2026, PlusVibe has the lowest list price from about 6,000 to 150,000 emails a month ($37 Personal, $77 Business). At 500,000 emails a month, Instantly Light Speed ($358) is the lowest, followed by Smartlead Unlimited Prime ($379) and PlusVibe Agency (from $497).
Do Instantly, Smartlead and PlusVibe all include unlimited email accounts?
Instantly and Smartlead both state unlimited email accounts on every plan on their pricing pages. PlusVibe does not charge per mailbox, but its pricing page states no mailbox cap and no unlimited guarantee for paid plans; the only stated cap is 3 accounts on the free trial.
Is warmup free on all three tools?
Yes. All three include warmup in the base plan, with no per-inbox warmup fee listed. What changes by plan is the warmup pool or settings: Instantly limits SMTP accounts in its standard pool by tier, Smartlead assigns pool tiers by plan, and PlusVibe offers basic warmup on Personal and advanced warmup from Business.
Which tool has a built-in lead database?
Instantly (SuperSearch, paid with Instantly Credits) and Smartlead (SmartProspect, a $59 monthly add-on on Base and Pro, included on Unlimited Smart and Prime) both have one. PlusVibe has no searchable lead database; it offers enrichment credits, an email finder and a Chrome scraper, so you bring your own lists.
Can I run Instantly, Smartlead and PlusVibe at the same time?
You can, but never connect the same mailbox to two sequencers at once, because both would send and warm from it. Agencies sometimes split client groups across two platforms; most teams are better off with one.
Do any of the three have a permanent free plan?
No. All three offer a 14-day free trial with no credit card. Instantly's trial includes 1,000 emails and 250 contacts, Smartlead's includes 2,500 sends and 1,250 contacts, and PlusVibe's includes 1,000 emails and up to 3 connected accounts.
Which is best for a cold email agency?
Smartlead publishes the clearest per-client pricing: $29 a month per client workspace from Pro, white label on your own domain, and unlimited contacts from $174. Instantly is cheapest if clients can share one workspace, and PlusVibe Agency (from $497) bundles isolated servers and white label but is quote-based beyond the starting price.
