The best CRM for cold email depends on how your replies reach it. HubSpot is the safest default because Instantly, Smartlead and PlusVibe all document a native HubSpot integration, and the free CRM costs nothing for two users. Capsule CRM is our pick for small teams and agencies that want a simple, low-cost pipeline fed by Zapier or Make, while Pipedrive, Close, Attio, folk, Instantly's built-in CRM and Apollo deals each win for a specific setup covered below.
Some tool links here are affiliate links (disclosure). Capsule, Apollo, Instantly, Smartlead and PlusVibe links are affiliate links. Nerdy Joe is a certified Apollo.io Managed Services Partner and a PlusVibe Certified Silver Partner; we are not partners of Capsule, Smartlead or Instantly.
Every price below comes from the vendor's own pricing page or help center unless we say otherwise, and is listed as of October 2026. We did not test these CRMs hands-on for this article. We compared what you can verify: price, plan limits, native integrations and automation routes.

What a cold email CRM actually needs to do
A cold email CRM is not where you send cold email. It is where a conversation goes after a prospect replies with interest, so the deal can be tracked to a booked call and a close.
That shifts the buying criteria. These are the five we used:
- Reply and lead sync. Can interested replies from Instantly, Smartlead or PlusVibe create or update a contact and a deal without copy and paste?
- Pipeline simplicity. Can a founder or a small sales team set up stages in an afternoon and keep them current?
- Price per user. Cold email teams are small, so per-seat pricing and free plans matter.
- Automation. Can the CRM create follow-up tasks, assign owners or move stages based on events?
- No cold sending from the CRM's own domain. The CRM should handle warm follow-up from your main inbox, while cold volume stays on separate domains in your sender.
The last point protects your main domain. Our guide to cold email infrastructure explains why cold campaigns belong on secondary domains and mailboxes, and why you should not connect those mailboxes to a CRM for bulk sending.
Price comparison at a glance
All prices are per user per month as of October 2026, monthly billing first with annual billing in parentheses where the vendor lists both.
| CRM | Free plan | Entry paid plan | Mid plan | Automation starts on | Trial |
|---|---|---|---|---|---|
| Capsule CRM | Yes (2 users, 250 contacts, 1 pipeline) | Starter, about $18 (annual, third-party figure) | Growth, about $36 (annual, third-party figure) | Growth | 14 days, no card |
| HubSpot | Yes (2 users) | Sales Hub Starter, $7 to $20 per seat shown | Professional, $100 ($90) plus $1,500 onboarding | Starter (up to 50 workflows, restricted) | Free plan instead |
| Pipedrive | No | Lite, $14 (annual) | Growth, $39 (annual) | Growth | 14 days, no card |
| Close | No | Solo, $19 ($9) | Growth, $109 ($99) | Growth | 14 days, no card |
| Attio | Yes (up to 3 seats) | Plus, $44 ($35) | Pro, $99 ($79) | Credits on every plan | 14 days of Pro |
| folk | Unclear on page | Standard, $30 ($24) | Premium, $60 ($48) | Workflow Assistant credits on Standard | 2 weeks, no card |
| Instantly CRM | 14-day trial | Growth CRM, $47 per workspace | Hyper CRM, $97 per workspace | Included | 14 days |
| Apollo | Yes | Basic, $65 ($49) (third-party figure) | Professional, $99 ($79) (third-party figure) | Workflows in app | Free plan |
Two notes on this table. Capsule's pricing page did not display dollar figures when we checked, so its paid prices come from Capsule's own blog and a third-party tracker (details in the Capsule section). Apollo's pricing page also did not show dollar figures, so its prices come from a third-party breakdown.
Integration matrix: how replies get from your sender to the CRM
| CRM | Instantly | Smartlead | PlusVibe |
|---|---|---|---|
| HubSpot | Native (connect and Automations) | Native | Native |
| Pipedrive | Native in Automations | Native | Planned; Zapier or Make on Business |
| Capsule CRM | Zapier or Make | Zapier or Make | Zapier or Make on Business |
| Close | Zapier or Make | Zapier or Make; third-party sync | Zapier or Make on Business |
| Attio | Native app built by Instantly | Zapier or third-party sync | Zapier on Business |

| Instantly CRM | Built in | Not applicable | Not applicable |
| Apollo deals | No direct route documented; sync both to HubSpot or Salesforce | Same | Same |
Plan gates on the sender side matter as much as the CRM. Instantly includes Zapier and API access on every Outreach plan but webhooks only from Hypergrowth ($97 per month). Smartlead puts API, webhooks and its CRM on Pro ($94 per month, $78.30 annual) and above, and PlusVibe puts webhooks, API and Zapier or Make on Business ($77 per month, $64.20 annual).
1. HubSpot: best for native sync with every major sender
HubSpot is the one CRM on this list with a native integration documented by all three senders. That makes it the lowest-effort choice if you want replies and activity in the CRM without building automations.
What each sender syncs:
- Instantly: HubSpot in Instantly Automations can trigger on contact and deal events and create or update contacts and records in both directions.
- Smartlead: creates and updates leads, logs opens, clicks, unsubscribes and bounces as notes, logs sent and replied emails, and creates deals on lead categories you choose (it does not move deal stages).
- PlusVibe: syncs sent emails and replies to the HubSpot contact, maps PlusVibe statuses to HubSpot lifecycle stages, and can create HubSpot deals when you label a lead.
Pricing as of October 2026: The free CRM covers up to 2 users. HubSpot's pricing page showed Sales Hub Starter at both $7 and $20 per seat per month depending on billing when we checked, while HubSpot's own pricing guide (updated September 2026) lists $15 monthly or $9 annual, so confirm the figure at checkout. Professional is $100 per seat per month ($90 annual) plus a one-time $1,500 onboarding fee.
Strengths: Starter allows up to 15 pipelines and up to 50 workflows with restricted triggers and actions. The ecosystem is large, so almost any tool you add later will connect.
Weaknesses: The free CRM has one deal pipeline, according to HubSpot's pricing guide. Sales sequences start on Professional, and HubSpot's Acceptable Use Policy prohibits collecting email addresses without consent and using HubSpot to send spam, so it is not a place to run cold volume.
Best for: Teams that want native, low-maintenance sync with Instantly, Smartlead or PlusVibe.
2. Capsule CRM: best simple pipeline for small teams and agencies
Capsule CRM is a plain, contact-centered CRM built for small businesses. It does not try to be a sending tool, which fits the cold email setup well: your sender handles volume, and Capsule tracks the people who reply with interest.
Pricing as of October 2026: Capsule's pricing page lists five plans (Free, Starter, Growth, Advanced and Ultimate) and says annual billing saves up to 18%, but it did not display dollar figures when we checked. Capsule's own blog (November 2025) lists Starter at about $18 per user per month, Growth at about $36 and Advanced or Ultimate from $54. Costbench (verified September 1, 2026) lists the same $18, $36 and $54 figures on annual billing.
What each plan includes, per Capsule's pricing page:
- Free: up to 2 users, 250 contacts and 1 sales pipeline
- Starter: 30,000 contacts, aimed at teams of 1 to 5
- Growth: 60,000 contacts, up to 5 sales pipelines and workflow automation
- Advanced: 120,000 contacts and 50 sales pipelines
- Ultimate: for teams of 5 or more users
Starter, Growth and Advanced come with a 14-day free trial, no card required.
How it connects to your sender: Capsule has no native integration listed by Instantly, Smartlead or PlusVibe. Instead, Capsule's Zapier integration is available on every plan, including Free, and Zapier lists actions such as Find or Create Contact, Create Opportunity, Add Tag and Add Note. Make also has a Capsule CRM app with modules that watch new opportunities and create parties, cases and tasks.
Automation: Workflow Automation is on Growth, Advanced and Ultimate. It can run when an opportunity reaches a milestone or is won or lost, then assign a user or team, add a Track of tasks or send an email from a connected mailbox using templates.
Weaknesses: Reply sync needs a Zapier, Make or n8n step, which adds a second subscription for many teams. The Free plan's 250-contact limit fills up quickly if you sync every lead, so sync only interested replies.
Best for: Founders, consultants and small agencies who want a clean pipeline at a low per-user price. Try Capsule CRM free.
3. Pipedrive: best visual deal pipeline
Pipedrive is built around a drag-and-drop deal pipeline. Lead, calendar and pipeline management are included on every plan, starting with Lite.
Pricing as of October 2026 (billed annually, per seat per month): Lite $14, Growth $39, Premium $59 and Ultimate $79. The page has a monthly toggle but showed only annual figures when we checked, and says annual billing saves up to 42%. Every plan has a 14-day trial with no card.
Sender integrations: Smartlead lists Pipedrive as a native CRM integration. Instantly added Pipedrive to its Automations builder in February 2026, with triggers on person, deal and lead events and actions such as Create or Update Person and Create or Update Deal. PlusVibe lists Pipedrive as planned, so use Zapier or Make for now.
Strengths: The pipeline view is the core product, and automations and full email sync with tracking start on Growth.
Weaknesses: No free plan, and Lite does not include automations or email sync.
Best for: Small sales teams that think in deal stages and use Smartlead or Instantly.
4. Close: best for calling after the reply
Close is a sales CRM with calling and SMS built in. It fits teams that move interested replies to a phone call quickly.
Pricing as of October 2026: Solo $19 per user per month ($9 annual), Essentials $49 ($35), Growth $109 ($99) and Scale $149 ($139). Calls and SMS are billed at cost on top, with outbound calls at about $0.02 per minute. The trial lasts 14 days with no card.
Sender integrations: Close's integrations page lists Zapier and Make but not Instantly, Smartlead or PlusVibe. Third-party sync tools such as OutboundSync offer a Smartlead to Close connection.
Strengths: Calling and SMS on every plan, a power dialer and automated workflows from Growth, and API access on all plans.
Weaknesses: No free plan, and automated workflows start at $109 per user per month on monthly billing.
Best for: Teams where the next step after a positive reply is a phone call.
5. Attio: best flexible data model
Attio lets you shape objects, lists and fields around how you sell, which suits agencies and startups with unusual pipelines.
Pricing as of October 2026: Free for up to 3 seats with 50,000 records. Plus is $44 per user per month ($35 annual) with up to 10 seats and 250,000 records, Pro is $99 ($79) with sequences and unlimited seats, and Enterprise is custom. Attio offers a 14-day trial of Pro.
Sender integrations: Attio's app marketplace lists an Instantly app built by Instantly. It syncs Attio people into Instantly lists, and lets Instantly create and update people, companies and deals, add notes and tasks. For Smartlead, use Zapier, Make or a third-party sync such as OutboundSync, which logs replies, bounces and lead category updates as notes.
Strengths: Generous free plan, flexible records and credits for AI and workflows on every plan.
Weaknesses: Email sending from Attio is capped (200 per month on Free and 1,000 on Plus), which is fine for follow-up but another reason to keep cold volume in your sender. The flexibility also means more setup than Capsule or Pipedrive.
Best for: Instantly users and teams that want to model their own pipeline.
6. folk: best for relationship tracking on small agency teams
folk is a lightweight CRM aimed at relationship-driven teams. Members are unlimited on every plan, and pipeline management is included from Standard.
Pricing as of October 2026: Standard $30 per user per month ($24 annual), Premium $60 ($48) and Enterprise from $100 ($80). A 2-week trial starts at sign-up with no card. The page's FAQ mentions a free plan but does not describe one.
Sender integrations: folk's integrations page lists lemlist, La Growth Machine and Salesforge, but not Instantly, Smartlead or PlusVibe. Its Zapier and Make apps and REST API are listed on Premium and Enterprise only.
Strengths: Simple setup, email and calendar sync and a follow-up assistant on every plan.
Weaknesses: Connecting a cold email sender means Premium plus a Zapier or Make step.
Best for: Agencies and founders who track a modest number of high-value relationships.
7. Instantly CRM: best if you already send with Instantly
If your campaigns run on Instantly, its built-in CRM keeps replies, stages, calls, SMS and tasks in the same login, with no sync to maintain.
Pricing as of October 2026: Instantly's plans overview lists Growth CRM at $47 per month and Hyper CRM at $97 per month. The CRM help article instead describes a flat $97 per month with unlimited seats, so check the billing page. A 14-day CRM trial starts automatically at sign-up, and the CRM is billed separately from Outreach plans (Growth $47, Hypergrowth $97).
Strengths: Opportunity stages (interested, meeting booked, won and custom), a unified inbox for email, calls and SMS, and a flat fee instead of per-seat pricing.
Weaknesses: It only makes sense if Instantly is your sender, and it is a separate subscription on top of Outreach. Read our Instantly review for the full plan breakdown.
Best for: Instantly users who want one tool. Try Instantly.
8. Apollo deals: best if you prospect and sequence in Apollo
Apollo is a data platform with sequences, a dialer and deals built in. Deals let you manage a sales pipeline inside Apollo, associate deals with people and companies, and create them manually or automatically through workflows.
Pricing as of October 2026: Apollo's pricing page names Free, Basic, Professional and Custom plans without dollar figures. Valley (updated October 6, 2026) lists Basic at $49 per user per month on annual billing ($65 monthly) and Professional at $79 ($99 monthly). Apollo says advanced CRM integrations are on Professional.
Strengths: Admins can build pipelines and stages with probabilities and forecast categories. If you already use HubSpot or Salesforce, Apollo deals sync in both directions and use the CRM's stages.
Weaknesses: By default only admins can access deals, and Apollo's help center does not say which plans include deals. Apollo's help center also says you can only connect one CRM at a time, and its pricing page lists API access on Custom plans.
Best for: Teams that find prospects in Apollo and want pipeline next to the data. See our Apollo review or get started with Apollo.
How to connect your cold email tool to a CRM
The goal is simple: only interested replies become CRM records and deals. Everything else stays in the sender.
If your CRM has a native integration
- Connect the CRM inside your sender's integrations or automations settings.
- Choose which events sync. Replies and positive lead labels are the useful ones; syncing every open adds noise.
- Map lead categories or statuses to CRM lifecycle stages or deal creation, as PlusVibe and Smartlead both support for HubSpot.
If it does not (Capsule, Close, folk and others)
- Set the trigger in Zapier, Make or n8n to a reply or label event from Smartlead, PlusVibe or Instantly. Check the plan gate first: Smartlead webhooks need Pro, PlusVibe's Zapier and Make need Business, and Instantly webhooks need Hypergrowth.
- Add a "find or create contact" step in the CRM, matched on email.
- Create an opportunity or deal at your first stage, and add the reply text as a note.
- Sync unsubscribes too, so nobody on your team emails an opted-out contact from the CRM.
Keep cold sending out of the CRM
Connect your main domain inbox to the CRM for one-to-one follow-up after the reply. Keep cold campaigns on secondary domains inside the sender, warmed up and limited per mailbox, as set out in the infrastructure guide linked above.
Your sequence logic should also live in the sender, not the CRM. Our guide to cold email sequences covers step counts, timing and when to stop.
Which sender pairs best with which CRM
- HubSpot users: any of the three senders works natively. Our PlusVibe review covers its HubSpot sync, status mapping and plan limits.
- Pipedrive users: Smartlead (native) or Instantly (Automations). See our Smartlead review.
- Capsule, Close or folk users: any sender with webhooks or Zapier, sized to your volume.
- No CRM yet: start with HubSpot free or Capsule's free plan and add a paid plan when you outgrow the limits.
If you have not picked a sender yet, our roundup of the best cold email software compares price, volume and mailbox limits.
Mistakes to avoid
- Syncing every lead. Push replies and positive labels only, or you will hit contact caps and bury real deals.
- Sending cold email through the CRM. Keep volume on dedicated domains in your sender and use the CRM for warm follow-up.
- Forgetting plan gates. Webhooks, API and Zapier access often sit on the second tier of both the sender and the CRM.
- Ignoring opt-outs. Sync unsubscribes so they apply across tools.
Rather not run it yourself?
Picking a CRM is the easy part. Domains, mailboxes, list building, copy, reply handling and keeping the pipeline current take real time every week.
If you would rather hand the outbound side off, book a 30-minute call with David at Koldify to see whether a done-for-you cold email program fits. Koldify is a cold email agency where David Tile is a partner, and it sends client campaigns on PlusVibe, Smartlead and Email Bison.
The verdict
Pick HubSpot if you want native sync with Instantly, Smartlead and PlusVibe and a free starting point. Pick Capsule CRM if you want a simple, affordable pipeline for a small team and are fine adding a Zapier or Make step for replies.
Choose Pipedrive for a visual pipeline with Smartlead or Instantly, Close if calls come next, Attio for a flexible model, and folk for relationship tracking. If Instantly already sends your campaigns, its CRM keeps everything in one place, and if your prospecting lives in Apollo, its deals keep pipeline next to your data.

Frequently asked questions
Do I need a CRM if my cold email tool has a unified inbox?
Not on day one. A unified inbox handles replies, but once you have more than a handful of live deals, a CRM keeps stages, notes, follow-up tasks and deal values in one place after the conversation leaves the cold email tool.
Should I send cold email from my CRM?
Usually not. Send cold email from a dedicated tool on secondary domains and mailboxes, then push interested replies into the CRM. Keep the CRM connected to your main domain inbox for warm, one-to-one follow-up.
Which CRMs integrate natively with Instantly, Smartlead and PlusVibe?
HubSpot is the one CRM with a native integration documented by all three. Smartlead also lists Salesforce, Pipedrive and Zoho, Instantly documents Pipedrive in its Automations builder and publishes an Attio app, and PlusVibe lists Salesforce and Pipedrive as planned.
What is the cheapest CRM for cold email?
HubSpot's free CRM and Capsule's free plan both cost nothing for up to 2 users, and Attio's free plan allows up to 3 seats. For a paid plan, Close Solo is listed at $9 per user per month on annual billing as of October 2026, and Pipedrive Lite at $14.
How do I get cold email replies into a CRM that has no native integration?
Use Zapier, Make or n8n, or your sender's webhooks. Trigger on a reply or an interested label in the cold email tool, then find or create the contact and create a deal in the CRM.
Is a CRM required for CAN-SPAM or GDPR compliance?
No law requires a CRM, but you do need to honor opt-outs and keep a lawful basis for contacting people. Syncing unsubscribes from your sender into the CRM helps stop someone who opted out from being emailed again by a teammate.
