The Best CRM for Coaches in 2026: Sales CRMs and Coaching Platforms Compared

The best CRM for coaches depends on whether you sell or schedule. If you run a real sales process with discovery calls, follow-up email and texts, Close is our top pick because calling, SMS and two-way email sync come on every plan, and Close's own partner materials name personal coaching as a core buyer. If you are a solo coach booking a few clients a month, a coaching platform such as Paperbell, Practice, HoneyBook or Dubsado may be all you need, and HubSpot, Pipedrive and Capsule each fit a specific setup covered below.

Some tool links here are affiliate links (disclosure). Nerdy Joe is a Close affiliate partner, a certified Apollo.io Managed Services Partner and a PlusVibe Certified Silver Partner.

Every price below comes from the vendor's own pricing page unless we say otherwise, as of October 2026. We did not test these tools hands-on for this article; we compared what you can verify on vendor sites and help centers.

Two different tools hide behind "CRM for coaches"

Sales CRMs (Close, HubSpot, Pipedrive, Capsule) manage the time before someone pays you. They hold leads, log calls, emails and texts, move deals through stages and remind you to follow up.

Coaching practice platforms (Paperbell, Practice, HoneyBook, Dubsado) manage the time after someone says yes. They run booking pages, session packages, payments, contracts, intake forms and a client portal. Most have light lead tracking at best.

The simple rule: if your bottleneck is follow-up, you need a sales CRM, and if it is admin after the sale, you need a practice platform. Many coaching companies end up with one of each.

Which one do you need?

Solo coach booking a few clients a month. You probably do not need a sales CRM yet. A practice platform such as Paperbell or Practice saves more time, because it handles scheduling, packages and payment in one place. Add HubSpot's free CRM or Capsule's free plan when leads start slipping through the cracks.

Coach running cold email, LinkedIn or ads. You will soon have more conversations than a practice platform can track, so you need stages, follow-up tasks and a record of every touch. If you call leads, Close Solo at $9 per month on annual billing is the cheapest way on this list to get built-in calling, SMS and email sync in the CRM.

Coaching company with setters and closers. This is the clearest case for a calling-first CRM. Close's partner materials describe its typical buyer as a business with 2 to 100 employees and a "human and communication first sales process," generally in B2B SaaS, personal coaching or digital marketing agencies. Our Close review covers every plan gate in detail.

Group practice with several coaches. Practice is built for teams, with a team dashboard and per-member calendars. Paperbell says it is designed for one service provider per account, so each coach needs a separate account.

Sales CRMs for coaches who run a pipeline

1. Close: best for coaching businesses that sell by phone

Close is a sales CRM built around calls, texts and email. Every plan includes worldwide calling, call logging, SMS, two-way email sync with Gmail and Microsoft 365, and a Calendly integration. That combination matches how most coaching programs sell: a lead books or replies, someone calls, and follow-up runs by text and email until the discovery call happens.

Pricing as of October 2026: Solo is $19 per month ($9 annual) for 1 user and 10,000 leads. Essentials is $49 per user ($35 annual), Growth is $109 ($99 annual) and Scale is $149 ($139 annual). Calls and SMS are billed at cost (most outbound calls run about $0.02 per minute).

The trial is 14 days with no card and includes $5 of calling and enrichment credits.

Current offer: Close's partner landing page offers code STACK20 for an extra 20% off the first year on annual billing, redeemable by December 31, 2026, for new accounts. Confirm the terms at checkout.

Booking and scheduling: Close's Calendly integration puts scheduling links into emails, and Close's blog (updated May 2026) says shared email and SMS templates can fill in each sender's own link.

Why it fits setters and closers:

  • Power Dialer (Growth and Scale). Setters call through a saved Smart View of new leads, skipping busy or unanswered numbers.
  • Workflows (Growth and Scale). A new lead can trigger an email, an SMS and a call task, and reply or meeting-booked goals pause the sequence.
  • Live call coaching (Scale). Close's pricing page says managers can "listen, whisper, or barge on in-progress calls," which helps when you train new setters.

ICF's partner page lists Close as a partner in its membership benefits program. Close says it migrates new customer data for free and offers a no-cost onboarding call.

Weaknesses: No free plan, Workflows and the Power Dialer start at $99 per user per month on annual billing, and usage is extra. Close's plans do not list session packages or a client portal, so you will still want a practice platform after the sale.

Example costs: A solo coach on Solo pays $9 a month on annual billing, plus usage. A three-person team (two setters and a closer) on Growth pays $297 a month on annual billing at list price, or about $237 a month in year one if STACK20 applies (Close shows Growth at $79 with the code).

Best for: Coaching companies with a phone-led sales process, from a founder to a team of setters and closers. Start a Close trial.

2. HubSpot: best free start

HubSpot is a safe first system for a coach. The free CRM covers up to 2 users with no card, and includes one personal meeting link with HubSpot branding.

Pricing as of October 2026: HubSpot's pricing page shows Sales Hub Starter at $7 and $20 per seat per month without labeling which is monthly or annual, so confirm at checkout.

Starter includes 1,000 personal and team meeting links and 500 calling minutes. Professional is $100 per seat per month ($90 annual) plus a required one-time $1,500 onboarding fee, and adds 3,000 calling minutes and sequences.

Strengths: HubSpot says email integration is free, and Instantly, Smartlead and PlusVibe all document native HubSpot integrations, so cold email replies can sync without Zapier.

Weaknesses: Sequences start on Professional, where the onboarding fee makes the jump expensive. SMS is not listed on the pricing page.

Best for: Solo coaches and duos who want a free CRM with a booking link, and anyone running cold email who wants native reply sync.

3. Pipedrive: best visual pipeline

Pipedrive is built around a drag-and-drop deal pipeline, which suits coaches who think in stages such as lead, call booked and enrolled.

Pricing as of October 2026 (annual billing, per seat per month): Lite $14, Growth $39, Premium $59 and Ultimate $79. The page showed only annual figures when we checked. All plans have a 14-day trial with no card.

Booking and email: Email sync with Gmail or Outlook, the meeting scheduler and automations all start on Growth.

Calling and SMS: Pipedrive's help center (updated September 3, 2026) says "Pipedrive doesn't have a built-in calling integration." You call and text through marketplace apps such as Kixie, Aircall and JustCall.

KrispCall also documents a Pipedrive integration, which our KrispCall review covers, and you can see KrispCall's plans if you want a separate phone line.

Weaknesses: No free plan, Lite lacks automations and email sync, and calling means a second subscription.

Best for: Coaches with a clear stage-based process who will add a phone app later.

4. Capsule CRM: best simple, low-cost pipeline

Capsule CRM is a plain contact and pipeline tool for small businesses.

Pricing as of October 2026: Capsule's pricing page did not display dollar figures when we checked. Costbench (verified September 1, 2026) lists Starter at $18, Growth at $36 and Advanced at $54 per user per month on annual billing, though it also cites $60 for Advanced.

The Free plan covers 2 users, 250 contacts and 1 pipeline, and paid plans have a 14-day trial with no card.

Booking: Capsule's Calendly integration "automatically create[s] a new Opportunity when a lead books a call via Calendly." It is available on every Capsule plan, including Free, but needs a Zapier plan with multi-step Zaps.

Calling and email: Capsule's app marketplace lists phone apps such as KrispCall, JustCall and Aircall, plus Gmail, Outlook and Google Calendar. Workflow automation starts on Growth.

Weaknesses: No built-in calling or SMS, and the Free plan's 250 contacts fill quickly if you import a full lead list.

Best for: Solo coaches and small teams who want a cheap, tidy pipeline. Try Capsule's free plan.

Coaching practice platforms for running clients

5. Paperbell: best all-in-one for a solo coach

Paperbell bundles the admin side of a coaching business into one flat fee. Its pricing page lists client scheduling, packages, payment processing, contract signing, a client portal and email workflows, with unlimited clients and sessions.

Pricing as of October 2026: $97 per month, or $970 per year (listed as two months free). Paperbell says there are "no additional transaction fees." Its FAQ says you can open a free account with no card, and the pricing page offers a 30-day money-back guarantee.

Integrations: Paperbell's FAQ says it integrates with Stripe and PayPal (Stripe recommended), has two-way integrations with Google Calendar, Microsoft Outlook and Apple iCal, uses Dropbox Sign for contracts and builds intake surveys into onboarding.

Weaknesses: Paperbell says it is "designed for one service provider per account," so a multi-coach practice needs one account per coach. Its pages do not mention SMS, Zapier or lead pipelines.

Best for: A solo coach who sells packages and wants booking, payment and contracts in one place.

6. Practice: best low-cost platform for small coaching teams

Practice covers scheduling, package tracking, invoicing, messaging and a client portal on web, iOS and Android.

Pricing as of October 2026: The plan selector shows a Monthly plan at $21 per month and a 2-year plan without a listed price, both with a 7-day free trial. The FAQ on the same page says "a flat $35 USD/month," so check the price at sign-up.

Practice lists unlimited contacts, clients and messaging and no additional transaction fees.

Team features: Practice's homepage describes a team dashboard, per-member permissions and shared payments and forms, and each coach can connect Google or Outlook calendars. Package tracking shows sessions used and left.

Weaknesses: Practice's pages do not describe lead tracking, Zapier or SMS, so it is not a replacement for a sales CRM.

Best for: Small coaching companies with several coaches delivering sessions.

7. HoneyBook: best for coaches who also sell projects

HoneyBook is a client management platform for service businesses with a customizable pipeline, lead forms, invoices, contracts, scheduling and a client portal.

Pricing as of October 2026 (billed yearly): Starter $29 per month, Essentials $49 and Premium $109, with $59 and $129 shown next to the last two as a "25% off" promotion. The trial is 30 days with no card.

HoneyBook says it is available to businesses in the U.S., Canada, UK and Australia.

Plan details: Starter allows 1 scheduler session with email-only reminders. Essentials adds unlimited sessions, SMS reminders, automations and up to 2 team members, and Premium allows unlimited team members. Integrations include Zoom, Calendly, Gmail and Zapier.

Weaknesses: Card processing fees apply (the FAQ says from 2.7% plus 10 cents, the plan table says 2.9% plus 25 cents), and there is no built-in calling.

Best for: Coaches who also sell workshops, speaking or consulting projects.

8. Dubsado: best for detailed onboarding workflows

Dubsado is a client management tool for service businesses with a client portal, invoicing, payment plans, lead capture forms and email integration.

Pricing as of October 2026: Starter is $335 per year and Premier is $525 per year, with no monthly prices listed when we checked. The trial runs 21 days with full Premier access and no card.

Both plans include unlimited projects and clients and 3 users, and extra users cost $25 per month for users 4 to 10.

Plan details: Scheduling, automated workflows and Zapier are on Premier only. Starter allows 1 active lead capture form, and Premier allows unlimited forms.

Weaknesses: No calling or SMS listed, and Starter lacks the scheduler, so most coaches will need Premier.

Best for: Coaches who want a step-by-step onboarding flow after the sale.

How leads from cold email and LinkedIn get into your CRM

Executive, leadership and sales coaches who sell to companies often find clients through cold email and LinkedIn. The rule is the same as for any B2B team: send cold email from a dedicated tool, and only push interested replies into the CRM.

From cold email:

Sender Into Close Into HubSpot
Instantly Instantly's help center documents a Zapier zap that creates a Close lead when a lead is marked Interested Native integration
Smartlead OutboundSync offers a one-way Smartlead to Close sync (in beta, requires Smartlead Pro or higher) Native integration
PlusVibe Webhooks for replies and labels such as Interested, sent through Zapier, Make or Close's API (Business plan) Native integration

Keep cold campaigns on secondary domains and warmed mailboxes, not in the CRM, as our cold email infrastructure guide explains. Our roundup of the best CRM for cold email covers the Pipedrive and Capsule routes too.

From LinkedIn:

  • Close: Close's help center lists LinkMatch, a Chrome extension that adds a LinkedIn profile as a Close lead in one click (separate license, 30-day trial).
  • HubSpot and Salesforce: If you build lists in Apollo, its Chrome extension works on LinkedIn, and Apollo documents two-way sync with HubSpot and Salesforce. Our Apollo review covers the details.
  • Everything else: Export to CSV or use Zapier. Avoid tools that scrape LinkedIn against its terms.

From your booking page: Put a Calendly link in every reply and in your LinkedIn profile. In Close, the link drops into email and SMS templates. In Capsule, a booked call can create an opportunity through Zapier.

Running a sales CRM and a practice platform together

Most coaching companies with a sales team end up with both. Leads, calls and discovery calls live in the sales CRM. When a deal is won, the client gets a package link from Paperbell, Practice, HoneyBook or Dubsado to pay, sign and book sessions, and delivery happens there.

Keep one source of truth for each stage, and leave the won deal in the CRM for renewals and referrals.

Mistakes to avoid

  • Buying a practice platform to fix a follow-up problem. Booking pages do not call leads back. If leads go cold after one email, you need a sales CRM.
  • Buying a sales CRM to fix admin. The sales CRMs here do not list session packages or a client portal.
  • Texting without consent. Text people who opted in, and plan for A2P 10DLC registration if you text US numbers. Close lists one-time fees such as $4 for a low-volume standard brand plus $15 for campaign verification.
  • Syncing every cold email lead. Push interested replies only, or you will fill free-plan contact caps and bury real prospects.

Rather not run it yourself?

A CRM organizes the pipeline, but someone still has to fill it with domains, mailboxes, lists, copy and reply handling.

If you would rather hand off outbound, book a 30-minute call with David at Koldify to see whether a done-for-you cold email program fits your coaching business. Koldify is a cold email agency where David Tile is a partner, and it sends client campaigns on PlusVibe, Smartlead and Email Bison. Our guide to running cold email with an agency or in-house lays out the trade-offs.

The verdict

Pick Close if your coaching business sells by phone, text and email, especially with setters and closers. Calling, SMS, email sync and Calendly come on every plan, and the Power Dialer, Workflows and live call coaching scale with the team. If you buy an annual plan by December 31, 2026, the STACK20 code takes an extra 20% off the first year on annual billing (confirm the terms at checkout).

Pick HubSpot for a free start with native cold email sync, Pipedrive for a visual pipeline, and Capsule for a cheap, simple one.

If you are a solo coach who mostly needs booking and payments, start with Paperbell. Choose Practice for a small team of coaches, HoneyBook if you also sell projects, and Dubsado for detailed onboarding workflows.

Frequently asked questions

Do coaches need a CRM?

A solo coach with a few clients a month can often run on a coaching platform that handles booking, packages and payments. Once you have more leads than you can remember, or anyone else is making calls for you, a sales CRM keeps every lead, call, text and follow-up in one place.

What is the difference between a sales CRM and coaching software like Paperbell?

A sales CRM tracks leads and deals before someone buys: calls, emails, texts, stages and follow-up tasks. Coaching software such as Paperbell or Practice runs the client relationship after the sale: scheduling, session packages, payments, contracts and a client portal.

Is HubSpot's free CRM enough for a coach?

It can be for a solo coach or a two-person team. HubSpot's free CRM covers up to 2 users and includes one personal meeting link with HubSpot branding, while calling minutes, more meeting links and sequences sit on paid Sales Hub plans.

What is the best CRM for a coaching company with setters and closers?

A calling-first sales CRM. Close includes calling and SMS on every plan, adds a Power Dialer and Workflows on Growth, and adds live call listening, whisper and barge on Scale, which suits teams where setters book calls and closers run them.

Can I text coaching leads from my CRM?

Close includes two-way SMS on every plan, with usage billed at cost. If you text US numbers, plan for A2P 10DLC registration, and only text people who have agreed to hear from you.

How much does a CRM for coaches cost?

As of October 2026, HubSpot and Capsule have free plans, Close starts at $9 per user per month on annual billing, Practice lists $21 per month, Dubsado starts at $335 per year and Paperbell is $97 per month. Calling and SMS usage is extra wherever it is offered.
