Cold Email Cost Calculator
Estimate what it costs to run cold email yourself: how many inboxes and domains your volume needs, what the tools add up to, and what your own time costs.
| Domains (yearly cost spread per month) | $0 |
|---|---|
| Inboxes | $0 |
| Sending tool | $0 |
| Data or leads tool | $0 |
| Email verification | $0 |
| Monthly tool cost | $0 |
| Monthly time cost | $0 |
| Total DIY monthly cost | $0 |
Plan for warmup. New inboxes need about three weeks of warmup before they send campaigns. You pay for domains, inboxes and the sending tool during that time, so expect roughly $0 in infrastructure spend before your first campaign email goes out.
How the math works
- Inboxes needed = emails per month, divided by (emails per inbox per day times sending days per month), rounded up.
- Domains needed = inboxes divided by inboxes per domain, rounded up.
- Monthly tool cost = domains times yearly domain cost divided by 12, plus inboxes times inbox cost, plus the sending tool, the data tool and verification for every email you plan to send.
- Monthly time cost = your hourly cost times hours per week times 52 weeks divided by 12 months.
- Cost per 1,000 emails = total DIY monthly cost divided by emails per month, times 1,000.
The calculator leaves out a few things that are harder to price: the cost of domains that get burned and need replacing, copywriting and testing time in the first months, and the opportunity cost of a slow ramp while you learn. Our guide to cold email infrastructure covers the setup in detail.

Frequently asked questions
How many inboxes do I need for cold email?
Divide your monthly volume by what one inbox can safely send in a month. At 30 emails per inbox per day over 22 sending days, one inbox sends about 660 emails a month, so 20,000 emails a month needs about 31 inboxes.
Why use several inboxes per domain instead of one big inbox?
Spreading volume keeps each inbox under a safe daily limit and spreading inboxes across domains limits the damage if one domain picks up a bad reputation. Your main company domain stays out of it entirely.
How long does warmup take?
Plan on about three weeks of warmup before new inboxes send campaign emails, then ramp volume gradually. You pay for the infrastructure during that period.
Are the default prices accurate?
They are placeholder assumptions to get you started, not quotes from any vendor. Prices change and vary by provider and plan, so replace each default with what you actually pay.
What does the calculator leave out?
It does not price replacement domains when one gets burned, the learning curve on copy and targeting, or the pipeline you miss while you ramp. Those are the costs that usually decide whether DIY or an agency makes more sense.
