PlusVibe Tutorial: How to Set Up and Use PlusVibe for Cold Email

To set up PlusVibe, sign up, connect (or buy) your sending inboxes, turn on warmup, then import and verify your leads and build a campaign with a sequence, schedule and sending accounts. Launch small, and handle replies in the Unibox. This tutorial walks through every step in the order PlusVibe's own help center describes, with links to each official article.

Some tool links here are affiliate links (disclosure). Nerdy Joe is a PlusVibe Certified Silver Partner, and Koldify, the done-for-you agency behind Nerdy Joe, sends client campaigns on PlusVibe. Every UI step below is checked against PlusVibe's help center as of October 2026; menus can change, so follow the linked article if a label looks different.

What you need before you start

Gather these first and the setup goes quickly:

  • Sending domains. Separate domains for cold outreach, not your main business domain. PlusVibe recommends traditional TLDs like .com or .net and registering domains early, since domain age matters.
  • Mailboxes. Google Workspace or Microsoft 365 business accounts, or another SMTP/IMAP provider. PlusVibe advises against personal email accounts for outbound.
  • DNS access. You will set MX, SPF, DKIM and DMARC records at your registrar.
  • A lead list. PlusVibe has no searchable contact database, so bring a CSV from your data source.
  • Your copy. Three or four short emails. Run them through our spam word checker before you paste them in.

Which plan to start on (as of October 2026)

Plan Monthly Emails/mo Active leads Enrichment credits/mo Workspaces
Free trial (14 days) $0 1,000 n/a 100 n/a
Personal $37 25,000 30,000 1,000 1
Business $77 150,000 100,000 3,000 1, extra from $29/mo
Agency From $497 500,000+ 1,000,000+ Custom Included

Annual billing gives two months free. The trial allows up to 3 connected accounts with warmup, which is enough to test the full workflow below.

If you want the full feature breakdown first, read our PlusVibe review. Otherwise, start a PlusVibe free trial and follow along.

Step 1: Create your PlusVibe account

PlusVibe's sign-up guide gives two options:

  1. Google sign-in. Click Sign Up on the PlusVibe website, click Sign In with Google and choose the address for your workspace. Your workspace is created under that Google address.
  2. Email and password. Enter your first name, last name, email and a password, click Send Code, paste the one-time code from your inbox, accept the terms and privacy policy, and click Submit.

Either way, you land in the app ready for the next step.

Step 2: Set up your workspace and team

A workspace holds your email accounts, campaigns and leads. Personal and Business include one workspace. PlusVibe's help center says you create new workspaces in account settings, and the pricing page sells extra workspaces from $29 a month on Business, with dedicated client workspaces included on Agency.

PlusVibe has two workspace roles:

  • Workspace Admin: full control, including inviting and removing members, changing roles, generating workspace API keys and configuring webhooks.
  • Workspace User: creates and manages campaigns, leads and campaign email accounts, but cannot manage members, API keys or webhooks.

Admins invite teammates by email. If the person already belongs to another workspace in the same organization, they are added right away; otherwise they get an invitation to accept. PlusVibe lists unlimited team members on every plan.

Agency tip: create one workspace per client from day one. Mixing clients in one workspace makes reporting and offboarding messy later.

Step 3: Prepare your domains and DNS

Do this before you connect a single inbox. PlusVibe's delivery preparation guide recommends:

  • 3 to 5 email accounts per domain.
  • MX, SPF, DKIM and DMARC on every sending domain. PlusVibe's in-app checks read the headers of emails actually sent, not just DNS lookups, so a record that looks fine elsewhere can still fail in PlusVibe.
  • DMARC last. PlusVibe's DNS guide says to let SPF and DKIM authenticate messages for at least 48 hours before you turn on DMARC.
  • Forwarding (optional). Forward each outreach domain to your main website so curious prospects land somewhere real.

The DNS guide links to provider-specific record values for Google Workspace, Office 365, GoDaddy and Namecheap. For the bigger picture on domain counts and inbox math, see our cold email infrastructure guide.

Step 4: Connect your inboxes (or buy them in PlusVibe)

Every connection starts the same way: open Email Accounts in the left menu, click Add New Account, pick a provider and click Continue.

Google Workspace

  1. Copy the Client-ID PlusVibe shows you.
  2. In the Google Admin Console, go to Security > Access and Data Control > API controls.
  3. Click Manage third-party app access, then Configure New App.
  4. Paste the Client-ID, click Search and select plusvibe.ai.
  5. Check the OAuth Client ID, choose the scope (all users or specific organizational units), set access to Trusted and click Finish.
  6. Back in PlusVibe, confirm the account appears in Email Accounts.

Microsoft 365

Microsoft turns SMTP authentication off by default, so enable it first:

  1. In the Microsoft 365 Admin Center, click Show All, then Exchange.
  2. Go to Settings > Mail flow.
  3. Clear Turn off SMTP Auth protocol for your organization and click Save.

Microsoft can take up to an hour to sync this change.

If your tenant requires admin consent, click Copy Client ID in PlusVibe's Add New Account screen, open Microsoft's admin consent URL with that ID, sign in as a Global Administrator and click Accept. Then connect the account in PlusVibe. Also make sure IMAP is enabled for the mailbox.

Gmail and other SMTP providers

  • Gmail (Personal): enable IMAP and create an App Password, then enter your sender name, address and App Password and click Connect. PlusVibe still recommends business accounts for outbound.
  • Any Provider: enter IMAP and SMTP hosts and ports (usually 993 and 465 for SSL/TLS, or 143 and 587 without), your logins, and check Use Same Login for SMTP Server if they match. Click Connect.

Buying done-for-you inboxes instead

If you would rather not handle domains and DNS, PlusVibe sells done-for-you inboxes. On the Email Accounts page, click Add New Account, choose Google Workspace or Microsoft 365 under Done-for-you, buy new domains through PlusVibe and set up the accounts. Track the order under Settings > DFY Subscriptions, where it moves through Order Received, DNS Configured, License Acquired, Pending QC and Active.

As of October 2026, PlusVibe's pricing page lists Google Workspace inboxes at $4 per inbox per month, Microsoft 365 at $4.50 and Microsoft Azure at $49 per domain per month. PlusVibe says setup is completed in under 24 hours. Ask about domain ownership and transfer terms before you buy.

Step 5: Add a custom tracking domain (if you track opens or clicks)

If you use open or click tracking, give each sending domain its own tracking subdomain:

  1. At your registrar, add a CNAME record with host px and value px.pipl.ai (PlusVibe's legacy domain from before its rebrand).
  2. In PlusVibe, open Email Accounts, select the account, open its settings and scroll to Custom Tracking Domain.
  3. Enter px.yourdomain.com, click Next, check the values and click Verify & Save. You can apply it to other accounts on the same domain.

DNS can take up to 24 hours to propagate. If you do not need tracking, PlusVibe's help center also documents how to disable it.

Step 6: Turn on warmup and set safe limits

Warmup builds sending reputation by exchanging emails with other inboxes in PlusVibe's network. Turn it on the day each inbox connects.

To enable it: in Email Accounts, click the grey warmup icon next to an account so it switches on. Or open the account's Analytics & Settings, go to the Warmup tab and adjust the daily limit and ramp-up under Settings. PlusVibe advises disabling spam filters on the inbox first so warmup emails from other users are not blocked.

How much to send. PlusVibe's Optimal Email Limit Settings guide (September 2026) gives these numbers for regular Google and Microsoft accounts:

Start Daily increase Max Ramp period
Warmup, new account 5/day +3 20/day About 2 weeks
Campaign, new account 3/day +1 20 to 25/day About a month
Warmup, migrated account 15/day +3 20/day First week
Campaign, migrated account 20/day +3 20 to 25/day First week

The guide also recommends 20% warmup randomization, a 35% warmup reply rate and 10 to 20 minutes between campaign emails, and says to keep warmup running even at full campaign volume. You can set these in bulk: select accounts, click Bulk Actions, then Edit Settings, and choose Warm-up or Account.

An older PlusVibe warmup article suggests ramping warmup higher, up to 50 a day. We follow the newer, more conservative guide. For done-for-you inboxes, PlusVibe's DFY guide says to wait until warmup reaches 25 emails a day before sending any campaign emails, then start campaigns at 3 a day and add 1 a day up to 30.

On Business and above, advanced warmup settings add options such as a business type, a sending schedule and warming your custom tracking domain.

Step 7: Import and verify your leads

PlusVibe does not supply contacts, so build your list elsewhere. Many teams use Apollo for this; our guide to prospecting in Apollo covers list building.

Import leads into a campaign

  1. Open Campaigns in the left menu, click the three dots on a campaign and select Edit.
  2. Go to the Leads tab and click Import Leads.
  3. Choose CSV Upload, manual entry, Import from Lead List or Import from CRM (HubSpot).
  4. For a CSV, check the column mapping. Matching names map automatically; use Select Type to remap a column, skip it or create a custom variable.

Remember your plan's active-lead limit: 30,000 on Personal and 100,000 on Business. PlusVibe counts every lead connected to a campaign, including paused and completed ones.

Verify before you send

PlusVibe's validation guide gives three ways to verify:

  • During CSV import: turn on the Verify Leads toggle on the review step.
  • In a lead list: use the Actions dropdown to verify the current page or all leads.
  • Through enrichment: select a list, click Add Enrichment and choose Verify Email.

Results come back as safe to send, risky or invalid. Invalid emails are skipped automatically, and risky emails are not enrolled by default unless you allow them in settings. Verification uses the enrichment credits included in every paid plan.

Load your block list

Go to Settings > Global Block List, click Add New, paste domains or addresses separated by commas and click Save. Leads on the block list are refused at import. Add existing customers, competitors and past unsubscribes.

Step 8: Build your campaign and sequence

Create a new campaign from the Campaigns page. The campaign editor has the tabs you will use next: Leads, Sequences, Schedule and Settings.

In the Sequences tab:

  • Write each step. Add a subject and body for the first email, then follow-ups.
  • Add waits. Each step has a "wait __ days, then" control. Emails only go out on your scheduled days, so a wait that ends on a weekend sends on the next active day.
  • Personalize. Click the double-braces button next to the subject field to insert variables such as {{first_name}} or {{company_name}}. Extra CSV columns become custom variables. Empty fields are left blank, so clean your data first.
  • Use AI if you want a draft. PlusVibe's AI Sequence Writer generates sequences, and the green AI button offers Rewrite Current Step with a creativity slider.
  • Add spintax and signatures. Spintax rotates wording, and {{signature}} inserts each sender account's signature.
  • Preview every step before saving.

For replies that need a different path, add Subsequences from the campaign's top navigation. A subsequence can enroll leads by label, by phrase in the reply, on any reply, or on any reply except out-of-office and automatic replies.

Step 9: Set the schedule, sending accounts and launch

Schedule tab:

  1. Tick the sending days.
  2. Set the From and To window and the Timezone.
  3. Pick a Campaign Start Date and, ideally, an end date.
  4. Under Campaign-Level Limit, set Maximum Emails per Day and Maximum New Leads to Contact per Day, then click Save.

Settings tab:

  1. In Sending Email Accounts, open the dropdown and select your warmed inboxes. PlusVibe rotates sending evenly across them.
  2. In Safety Settings, switch on the unsubscribe link.
  3. Click Save.

Launch with a low daily cap and check bounces and replies after the first few days. Scale by adding warmed inboxes rather than pushing more mail through each one.

Step 10: Manage replies in the Unibox

The Unibox collects replies from every connected inbox and campaign in one view. Here is what PlusVibe documents:

  • Filters by reply label, sender email and campaign.
  • AI labels. First replies are sorted into Interested, Not Interested, Out of Office or Automatic Reply, and you can add custom labels. You can also set an email address to be notified of positive replies.
  • Scheduled replies so your answer lands in the prospect's working hours.
  • Auto Follow-Up. In Unibox, open AI automation, switch on Auto Follow up, choose labels and wait days, and add a sequence. Any reply from the lead stops it.
  • Thread assignment and Replace Lead, added in March 2026, for routing positive replies to teammates and swapping a contact mid-thread.

If a reply never appears, check the sender account's reply-to address. PlusVibe notes that replies sent to a different reply-to address will not show up in the Unibox. Unibox emails are kept for nine months, so export anything you need to keep longer.

Optional: placement testing is a paid add-on

PlusVibe sells Email Placement Tests as a separate subscription on top of your plan. As of October 2026, the pricing page lists Starter at $19 a month (300 credits), Growth at $39 (1,000 credits) and Scale at $89 (5,000 credits). One credit covers one sender account per test run.

It is useful once you run many inboxes, but it is not part of the base plans.

Common setup mistakes

  • Sending before warmup finishes. Follow the ramp in Step 6, not your sales target.
  • Turning on DMARC on day one. Give SPF and DKIM 48 hours first.
  • Skipping verification. A bad list damages inboxes faster than bad copy.
  • Too many inboxes per domain. Stay at 3 to 5.
  • Mixing clients in one workspace. Separate them from the start.
  • Ignoring the reply-to field. It is the most common reason replies seem to vanish.

If you are still deciding between platforms, compare PlusVibe vs Instantly and PlusVibe vs Smartlead.

Rather not run it yourself?

The setup takes an afternoon; running it well takes hours every week. Koldify, where David Tile is a partner, sends client campaigns on PlusVibe, Smartlead and Email Bison and handles domains, warmup, lists, copy and replies. Book a 30-minute call with David at Koldify to talk it through.

Final word

PlusVibe is quick to set up once your domains are ready, and most of the work is waiting for warmup and keeping lists clean. Connect three inboxes on the trial, follow the limits above and run one small campaign before you pick a plan. Start your PlusVibe free trial, build your list in Apollo or your usual data source, and launch slowly.

Frequently asked questions

How long does it take to set up PlusVibe?

Creating the account and connecting inboxes takes under an hour if your domains and DNS are ready. The real wait is warmup: PlusVibe's help center expects improvement over about three weeks, and its limits guide ramps new accounts over roughly a month before they reach full campaign volume.

Is PlusVibe free to try?

Yes. PlusVibe offers a 14-day free trial with no credit card required. It includes 1,000 emails, a small batch of enrichment credits, warmup for 3 inboxes and up to 3 connected email accounts.

How many emails per day should I send from each PlusVibe inbox?

PlusVibe's Optimal Email Limit Settings guide (September 2026) recommends new Google and Microsoft accounts start at 3 campaign emails a day, add 1 per day and top out at 20 to 25, with warmup kept running. Its done-for-you guide caps campaign sending at 30 a day per inbox.

Can I buy inboxes inside PlusVibe?

Yes. On the Email Accounts page, click Add New Account and choose a done-for-you Google Workspace or Microsoft 365 option. As of October 2026, PlusVibe's pricing page lists Google Workspace inboxes at $4 per inbox per month and Microsoft 365 at $4.50, and its help center says setup is completed in under 24 hours.

Does PlusVibe include inbox placement testing?

No. PlusVibe's help center describes Email Placement Tests as an add-on subscription on top of your plan. As of October 2026, the pricing page lists Starter at $19 a month, Growth at $39 and Scale at $89.

Where do replies show up in PlusVibe?

Replies land in the Unibox, PlusVibe's unified inbox across all connected accounts and campaigns. If a reply is missing, check the sender account's reply-to setting, since replies sent to a different reply-to address will not appear in the Unibox.

Does PlusVibe have a lead database?

No. PlusVibe has enrichment, an email finder and a Chrome scraper, but no searchable B2B contact database. Most teams build lists in a data tool such as Apollo and import them into PlusVibe as a CSV.
